Small Business Project Management SystemProject management can be a daunting task if you’ve never taken it on before.  One of the keys to making your projects succeed is having a good system in place.  Consistently moving a project forward and ultimately shipping the product is dependent on a strong system more so than strong players.

Put A Project Management System In Place

Your project management system can be anything that works well for you in a wide range of softwares or systems.  The important thing is that you put something in place and work on it.  Systems like Basecamp may make the most sense for you, or you may simply want to have an excel sheet that tracks your projects.  There are also ERP level softwares such as OpenERP or xTuple that give you the scaleability to grow your system with your small business up to a billion dollar enterprise.  Whatever you choose take the time to research it and then stick to it.

All project management systems are complex and take learning to master.  I’ve looked at dozens myself and I’ve found that each of them have strengths and shortcomings.  The real key in the system is the leader driving the system and projects forward.  You are that leader for your small business.  Simply use the project management portal to achieve your goals, don’t expect it to be a one click solution to management as a whole.

1. Tag And Prioritize Projects

In whatever software package you choose, using project titling and tagging as a way to prioritize projects and display their age and importance.  I title projects with dates and codes that help my team and I see at a glance what’s going on with the project.  Here’s an example project name:

At a glance I can now see the project type, client name, project name, and date the proposal was accepted by the client.  This is helpful when choosing what to work on next as the oldest projects should be cleaned up first.  Something like this can be a helpful method when naming your projects.  Whatever the system is, communicate it to your team and stick with it.

2. Mark The Date The Project Entered Your System

Just as I noted above, the date of the project is important.  If you have a way to sort and prioritize projects by date this will allow you to work on time sensitive and important projects first.  Small business owners at times tend to get overwhelmed with new work that comes in waves and then dries up if they don’t have a steady lead stream in place.  By date stamping things you can maintain consistency in what you focus your efforts on.

3. Daily Choose To Update And Manage The System

I think the single most important key to succeed as a small business owner with your project management system is updating it daily.  As we discussed in day twenty one your calendar should be one of the tools to help you move things forward.  One of your daily agenda items should be to review and update all open projects.  If you continually update your clients and team using your project management portal you will have a close eye on how projects are progressing and your clients will see the progress at the same time you do.

Is Worth So Much More Than You Realize

Wonderful, perfect, powerful, valuable, and golden.  Those the words that I think about when I think about my past.  You see, every moment of my past experience is a moment that I can use to connect with someone new that I meet today.

Maybe my time behind the retail counter is where we’ll connect.  Maybe it’s from when I ran a backhoe, or maybe it’s from the time I had 35 employees under me that I had to manage, hire, coach, promote, and sometimes fire.  Maybe it’s recalling the times that I had hot oil running down my arm from under the car lift.  Or maybe, the time I spent 18 hours writing, and re-writing code until my eyes and my head hurt that will make the difference.

What You Should Do With Your Past

When I first meet someone I look for an opportunity to connect based on our past experiences.  That is why I find every bit of the experiences I’ve had to be incredibly valuable.  Even the ones that I’d rather not live through again are experiences that I use to connect with my new and old friends.

When you look at your past, do you cherish it, or hate it?  I’m not sure what your first thoughts are when you consider the things you’ve come through.  Today take a step back and realize that everything you have in your past is incredibly valuable.  Instead of reminiscing, or possibly closing the door to your past, accept it for what it is, and then capitalize on it it.

Connect The Past With A Bright Future

Here are a few keys to making your past a success:

  • Learn think of similar experiences that can bond you to others when connecting for the first time.
  • Tell your positive stories about the past to gain personal connection with others.
  • Don’t be a ignorant of history’s lessons – don’t be fooled twice by con artists.  Learn from your past.
  • Ask others to share their past experiences, and shortcut their mistakes.

Small Giant Moments

We rarely ever realize in the moment how powerful our words can be. Today a friend of mine said something so encouraging that I will remember it for a long time. Probably years. I am fairly certain that they have already forgotten what they said.

Looking back over the few years I’ve been on this planet I realize that it has been those small moments that have mattered the most to me.

Today you may have the opportunity to say something kind or encouraging. Don’t pass that opportunity up. The smallest moments often matter the most.

Something Worth Saying

Every once in a while we have the opportunity to say something profound, something that will matter, something truly worth saying.  One of the quotes that has stood out to me a lot this year was from one of my favorite T.V. personalties Conan O’Brien.  He said:

If you work really, really hard, and you’re kind… Amazing things will happen to you.

Since that was said in his last show and retweeted so much I’ve really thought a lot about it’s meaning and I’ve also thought about those times when I’ve had the opportunity to say something that matters.  At my best friends funeral a few years ago I finally said what I really felt to my brother and it was a turning point in his life and in mine.  I finally figured out how to say that I loved him and accepted him the way he was not matter what.  I’ve realized that there is a lot of cruelty in this world but being kind to those who are there for you matters more than we realize.

Stop, think, and take a close look at how you feel about your loved ones.  Tell them how you really feel.  Don’t be scared to bare your emotions and be honest when you care about someone special.  Learning to be real and transparent about how you feel will help you and those around you to be free.  The more honesty and freedom we all have the more we can succeed.

We all need to realize that we have many opportunities every day to say something worth saying – something memorable.  Take advantage of each moment that you have and make it matter.
